Office Furniture Installation Checklist: Is Your Site Actually Ready?

3 min read

The trucks are booked. The crew is scheduled. Move-in is two weeks away.

Then install day arrives, and the freight elevator is reserved for another tenant. Or the carpet is still going down. Or half the furniture is sitting in a distribution centre in another province.

Most installation delays have nothing to do with the installers. They happen because the site wasn't ready.

At ECS Solutions, we've learned that the best install days are decided a week or two earlier. When a crew arrives at a site that isn't ready, you pay for waiting time, a return visit, or both. Here's the checklist we recommend running through before your installation date.

✅ 1. Building Access

  • ☐ Loading dock booked for the delivery date and time

  • ☐ Freight elevator booked, with enough hours for the full load-in

  • ☐ Elevator, lobby and corridor protection arranged, if the building requires it

  • ☐ Certificate of insurance sent to property management

  • ☐ Building rules confirmed: work hours, noise restrictions, security sign-in

  • ☐ Parking arranged for delivery trucks and crew vehicles

  • ☐ Keys, fobs or access cards ready for the crew

In busy GTA towers, elevator time is often the tightest resource on the project. Book it early.

✅ 2. The Space Itself

  • ☐ Construction in the install area is complete

  • ☐ Flooring is installed and finished

  • ☐ Paint is done and dry

  • ☐ Ceiling, lighting and sprinkler work is complete overhead

  • ☐ Construction materials, tools and debris are cleared out

  • ☐ Floor protection is in place along the route from the elevator

  • ☐ The space has been cleaned

A worksurface installed under an unfinished ceiling is a worksurface covered in dust by Friday.

✅ 3. Power and Data

  • ☐ Floor boxes, poke-throughs and wall outlets match the drawings

  • ☐ An electrician is scheduled to connect furniture power after installation

  • ☐ The IT or cabling team knows when workstations will be ready

✅ 4. Drawings and Documents

  • ☐ The final, approved floor plan has been issued to the installer

  • ☐ Furniture drawings match the current floor plan

  • ☐ Room numbers and workstation labels match between drawings and site

  • ☐ Late changes have been communicated in writing

Outdated drawings are one of the most expensive problems on any install. Workstations built in the wrong orientation have to be taken apart and built again.

✅ 5. Furniture and Deliveries

  • ☐ All furniture has shipped or has a confirmed delivery date

  • ☐ Order acknowledgements have been checked against the specification

  • ☐ Known backorders are identified, so the install can be phased around them

  • ☐ There's a staging area on site, or product is being received into storage first

✅ 6. Existing Furniture

  • ☐ Old furniture is removed, or its removal is scheduled before the new install

  • ☐ Items being kept are tagged and separated from items being removed

  • ☐ Personal items are cleared from desks and storage being moved

✅ 7. People

  • ☐ A site contact is named and available on install day

  • ☐ Staff know the schedule and which areas will be off-limits

  • ☐ Someone on site can make decisions if questions come up

A Ready Site Is a Faster Site

Every unchecked box can cost hours. A ready site lets the crew work at full speed from the first hour, and that's the most reliable way to keep a project on time and on budget.

If you're not sure where your project stands, ask your installer to walk the site with you before install day. It's a short visit that regularly saves a full day of crew time.
