What Does Office Furniture Installation Actually Cost?

It's usually the first question we hear, and it's a fair one.
How much will it cost to install our office furniture?
The honest answer: it depends. And not in a vague way. Two projects with the exact same number of workstations can come in at very different prices, because installation is priced on labour hours, and labour hours are driven by two things: the product and the building.
At ECS Solutions, we quote installations every week across the GTA and Ontario. Here's what actually moves the number up or down, so you can read a quote properly and avoid surprises later.
✅ 1. The Product Is the Biggest Factor
Start here, because this is where most of the time goes.
A freestanding desk and a panel-based workstation are completely different jobs. A typical workstation isn't one item. It can include worksurfaces, panels, glass screens, pedestals, overhead storage, monitor arms, cable management and integrated power.
What adds time:
Systems furniture with stacking panels and toppers
Height-adjustable tables (base assembly, wiring, cable management)
Demountable walls and private offices that require precise layout
Large boardroom tables that need several installers to move and level
Multiple manufacturers on the same project
When comparing quotes, make sure every installer is pricing the same specification. A quote based on an old furniture list isn't a real comparison.
✅ 2. Getting From the Truck to the Floor
This is where hours quietly disappear.
A booked loading dock and a dedicated freight elevator make a job efficient. A street delivery, a shared passenger elevator with time limits, or a carry up a flight of stairs can easily double the time it takes just to bring product up.
Other factors we look at:
Distance and turns between the dock and the install area
Truck and crew parking, especially in downtown Toronto
Building rules: certificates of insurance, elevator and floor protection, permitted work hours
None of these are unusual. They just need to be known before the price is set.
✅ 3. When the Work Happens
Regular daytime hours are the most cost-effective, but they only work in an empty space or a construction-phase floor.
In an occupied office, most clients prefer evenings or weekends so their team isn't disrupted. That's often the right call, but after-hours labour carries premium rates. Compressed timelines that need larger crews or overtime also cost more than a well-sequenced project with realistic lead time.
✅ 4. Receiving, Storage and Staging
On larger projects, furniture rarely arrives all at once, and it can't sit in a hallway waiting for the crew.
Receiving product into a warehouse and delivering it to site in organized phases adds a line item. But it usually saves money by preventing congestion, lost components and installers waiting on product. ECS offers secure, climate-controlled storage for exactly this reason.
✅ 5. Electrical and Data
Many workstations include built-in power. Installers assemble the furniture's power components, but the connection to the building is typically done by a licensed electrician.
That split matters. If one quote includes electrical coordination and another doesn't, you're not comparing the same scope.
✅ 6. What Happens to the Existing Furniture
If old furniture needs to be removed, relocated, stored, donated or recycled before the new install, that's separate work. Leaving it out of the original scope is one of the most common sources of change orders we see.
✅ 7. Deficiencies and the Final Walkthrough
A complete quote accounts for adjustments, levelling, and a return visit for missing or damaged parts. Ask whether the price includes a punch-list visit. If it doesn't, it will show up later.
How to Get an Accurate Quote
The more an installer knows up front, the less contingency they need to build in. Send:
The current floor plan and furniture drawings
The furniture specification or order acknowledgement
Site address, loading dock and elevator details
Preferred dates, and whether after-hours work is needed
Any removal, storage or disposal requirements
The cheapest number on paper isn't always the lowest final cost. A detailed quote built on your real site conditions protects your budget far better than a low one that grows through change orders.
